Osprey Atlas (OT Documentation Knowledge Base) - User Guide

Overview

Osprey Atlas is Tycho Data's document management application for organizing, versioning, and managing your engineering documents. It provides hierarchical folder structures, version control, and advanced search capabilities.

Getting Started

Accessing Atlas

  • Click Documents in the main navigation menu
  • The Atlas interface displays your file library
  • Files and folders are organized in a hierarchical structure
  • Current location shown in breadcrumb navigation at top

Core Features

1. Navigation & Browsing

Folder Navigation

  • Double-click any folder to open it
  • Breadcrumb trail shows current location (e.g., Home / Engineering / P&IDs)
  • Click any breadcrumb to jump to that folder level
  • The folder icon indicates directories

View Options

  • Files displayed in table view with file information displayed in columns
  • Hover over any row to reveal action buttons
  • File type indicated by color-coded badges:
    • 🔴 PDF
    • 🟣 Image
    • 🔵 Document
    • 🟢 Spreadsheet

2. Uploading Files

Method 1: Upload Button

  1. Click Upload Files button (top-right)
  2. Upload dialog appears
  3. Click "Drag and drop files here" or click to browse
  4. Select one or multiple files
  5. Upload progress shown for each file
  6. Auto-closes and refreshes when complete

Method 2: Drag & Drop

  1. Click Upload Files button to open modal
  2. Drag files from your computer directly into the upload zone
  3. Drop to start upload immediately
  4. Monitor progress for each file
  5. Success/failure status shown per file

3. Folder Management

Creating Folders

  1. Click New Folder button (top-right)
  2. Enter folder name in dialog
  3. Click Create Folder
  4. New folder appears in current directory
  5. Nested folders supported for deep organization

Renaming Folders

  1. Hover over folder row
  2. Click Rename button
  3. Enter new name in prompt
  4. Press OK to confirm
  5. Folder name updates immediately

Deleting Folders

  1. Hover over folder row
  2. Click Delete button
  3. Confirm deletion warning
  4. Warning: Deletes folder and ALL contents recursively

4. File Operations

Opening Files

  • PDFs & Images: Double-click to open in viewer
    • Click Open button in actions column
    • Opens in integrated viewer with annotation tools
  • Other files: Download to view locally

Downloading Files

  1. Hover over file row
  2. Click Download button
  3. File downloads to your browser's download folder
  4. Works for all file types

Renaming Files

  1. Hover over file row
  2. Click Rename button
  3. Enter new filename in prompt
  4. Include file extension (e.g., drawing.pdf)
  5. Press OK to save

Deleting Files

  1. Hover over file row
  2. Click Delete button (red)
  3. Confirm deletion warning
  4. File permanently removed from system

5. Version Control

File Versioning

  • Every file tracks version number (v1, v2, v3, etc.)
  • Version badge shown in table for v2+
  • Replace functionality creates new versions automatically
  • Original versions preserved in history

Replacing Files (Creating New Versions)

  1. Hover over file row
  2. Click Replace button
  3. Redirects to viewer with upload option
  4. Upload new version of the file
  5. Version number increments automatically
  6. Previous version preserved

Search Across All P&IDs

  1. Click Search P&ID Annotations button (top-right)
  2. Search modal opens
  3. Enter search term:
    • Equipment names (e.g., "P-101", "Pump")
    • Instrument tags (e.g., "PI-1001", "TI-")
    • Descriptions or notes
    • Any text in annotations
  4. Press Enter or click Search

Search Results

  • Results grouped by P&ID document
  • Shows page numbers containing matches
  • Displays annotation names if available
  • File count shown for each document
  • Total results displayed at top

Opening Search Results

  1. Click Open P&ID button next to any result
  2. Opens document in viewer
  3. Navigates to specific page
  4. Search term highlighted in annotations
  5. Ready for editing or review
